Privacy Policy

This Privacy Policy explains how Easy Travel Club ("we", "us", "our") collects, uses, shares, and protects your personal data when you visit this website, make an enquiry, or book one of our packages. We handle your data in accordance with the UK GDPR and the Data Protection Act 2018.

1. Who We Are

Easy Travel Club is a partnership operating in England and Wales.

Trading address: InteleTravel (UK), 1 Canada Square, Floor 37, London E14 5AA

Contact email: easytravelclub@outlook.com

We are the "data controller" for the personal data described in this policy. If you have any questions about how we handle your data, contact us using the details above.

2. What Information We Collect, and How

We collect this information directly from you (when you enquire, book, or contact us), automatically through our website (see Section 7 on cookies), and sometimes from third parties such as Suppliers or InteleTravel where relevant to your booking:

  • Contact details: name, date of birth, address, email, phone number

  • Travel details: passport information, travel dates and destinations, preferences, loyalty numbers, and any dietary, accessibility, or medical information you choose to share for booking or insurance purposes

  • Payment information: processed directly by Stripe, our payment provider — we do not store full card details ourselves

  • Website usage data: IP address, browser and device information, pages visited

  • Marketing preferences: whether you've opted in to hear from us

3. Why We Process Your Data

We rely on the following legal bases:

  • Contract — to provide quotes and arrange, book, and manage your travel

  • Legitimate interests — to run and improve our website and business, and prevent fraud

  • Consent — for marketing emails and non-essential cookies, which you can withdraw at any time

  • Legal obligation — where we're required to keep or share records (e.g. financial record-keeping)

4. How We Use Your Information

  • Provide quotes and arrange, confirm, and manage your bookings

  • Communicate with you about your booking, including confirmations and travel documents

  • Process payments, including passing on payment to Suppliers where applicable

  • Share necessary details with Suppliers to fulfil your booking

  • Send marketing communications, where you've opted in

  • Meet our legal and regulatory obligations, including to InteleTravel as our host agency

  • Improve our website and prevent fraud

5. Who We Share Your Information With

  • Suppliers (airlines, hotels, cruise lines, tour operators) — to book and manage your travel. They are independent data controllers with their own privacy policies

  • InteleTravel, our host agency — for booking administration, accreditation, and compliance

  • Stripe — to process payments securely

  • Other service providers — such as Squarespace (website hosting), email marketing, and analytics tools

  • Regulators or authorities — where required by law

We do not sell your personal data.

6. International Transfers

Many Suppliers are based outside the UK, so booking your travel usually means transferring your data to them in their country of operation. Where this happens, we rely on it being necessary to perform your travel contract, or on appropriate safeguards such as the UK's International Data Transfer Agreement.

7. Cookies and Tracking

Our website uses cookies and similar tools — including Google Analytics and Meta Pixel — to understand how visitors use the site, remember preferences, and measure marketing performance. We'll ask for your consent to non-essential cookies via a cookie banner on your first visit; you can change your preferences at any time. Essential cookies needed for the website to function don't require consent.

8. How Long We Keep Your Data

We keep your data for as long as necessary to fulfil the purposes in this policy, including legal, accounting, or reporting requirements — typically up to 6 years for booking-related records. Marketing details are kept until you unsubscribe or ask us to delete them.

9. Your Rights

Under UK GDPR, you have the right to access, correct, or erase your data; restrict or object to processing; request your data in a portable format; and withdraw consent at any time. To exercise any of these rights, contact us at easytravelclub@outlook.com — we may need to verify your identity first.

10. Children

Our website and services aren't directed at children. We don't knowingly collect personal data from anyone under 16 without appropriate parental or guardian involvement — for example, where a child is a named traveller on a family booking made by a parent or guardian.

11. Security

We take reasonable technical and organisational measures to protect your data, though no method of transmission or storage is completely secure. In the event of a data breach likely to affect your rights, we'll notify the ICO and affected individuals as required under UK GDPR, without undue delay.

12. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated "Last Updated" date.
